Buying AI before you fix your workflow is like bolting a bigger engine onto a car with no steering.
The bottleneck is almost never the tool. It lives in the seam between two owners. Sales to onboarding. A draft to a reviewer. A finished task to whoever ships it. That is where work disappears, where context dies, and where AI exposes the gap the loudest.
I learned this the hard way in my own business. I had a process that could sort and score incoming work perfectly well. And then nothing happened, because the result landed in a queue I never opened. The handoff from the machine back to me was the whole bottleneck. The model was not the problem. The seam was.
What fixed it was not a smarter model. It was a simple alert on my phone with one button, and a way to actually close the loop when a task was done. Small, boring pieces. Zero new AI.
Most teams drop an AI tool into a broken process and call the broken process a strategy. The tool exposes every gap. It closes none of them. That part is your job.
Here is how to find the broken handoff before AI finds it for you. Walk one task end to end. Not the clean version. The real one. Where does it pause? Who is waiting on whom? Where does a status sit stale for more than a day? That is your seam.
Fix the seam first. Then add the engine. In that order, every time.
